Privacy Policy

Here's exactly what we collect, why we collect it, and how you can control it.

1. Who We Are

We're KitsilaNails — a family-owned nail salon at #102 – 2065 West 4th Avenue, Vancouver, BC V6J 1N3. We operate this website and collect personal information as part of providing booking and communication services.

Privacy inquiries: booking@kitsilanails.com. We respond within 30 days.

2. What We Collect

We collect only what we need to book and manage your appointment:

  • Name — to identify your booking
  • Email address — for confirmations, reminders, and cancellation notices
  • Phone number — for booking follow-up if needed
  • Appointment details — service type, date, time, and any special requests
  • Marketing opt-in preference — whether you've consented to promotional emails

We do not collect payment data, health data, or government IDs. All payments are handled in person at the salon.

3. Why We Collect It

  • Sending booking confirmation emails
  • Sending appointment reminders
  • Sending cancellation and reschedule notifications
  • Providing self-serve cancel and reschedule links so you can manage your appointment without calling
  • Sending promotional emails — only if you've explicitly opted in

We don't use your information for profiling, automated decision-making, or advertising targeting.

4. Who We Share It With

We never sell, rent, or trade your personal information. We share it only with the following service providers, solely to operate our booking and communication systems:

  • Firebase (Google LLC) — booking database. Servers located in the US.
  • Formspree — contact form routing to our inbox.
  • Zoho Mail — staff email inbox for incoming inquiries.
  • Google Apps Script / Gmail — automated confirmation and reminder emails.

Data may be stored on servers outside Canada, including in the United States, where different privacy laws may apply.

5. How Long We Keep It

  • Booking records — up to 12 months after your appointment date, then deleted.
  • Marketing subscribers — until you unsubscribe.
  • Contact form submissions — up to 12 months, then deleted.

6. Your Rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Access the personal information we hold about you
  • Correct any inaccurate or incomplete information
  • Delete your information (subject to legal retention requirements)
  • Withdraw consent at any time — including consent to marketing emails

To exercise any of these rights, email booking@kitsilanails.com with your name and what you'd like us to do. We'll respond within 30 days.

7. Marketing & CASL

We comply with Canada's Anti-Spam Legislation (CASL):

  • We only send promotional emails to people who have explicitly opted in — you're never added automatically
  • Every marketing email has a one-click unsubscribe link
  • Unsubscribe requests are honoured within 10 business days
  • Transactional emails (confirmations, reminders, cancellations) are sent regardless of your marketing preference — they relate directly to your appointment
